We are a woman-owned and veteran-owned family construction company seeking an Office Manager/Bookkeeper who has the integrity, motivation, and good-humor to work in a start-up environment and push jobs forward to completion.
Responsibilities:
Maintain office services by organizing office operations and procedures, correspondence, designing filing systems, and assigning and monitoring clerical functions
General Bookkeeping, P&L Statements, Accounts Payable, Accounts Receivable, and Collections
Tax Records, 1099s, 940s, 941s, Obtaining NTTCs
RFP Procurement
Research and apply for national grants, bonds, or government contracts
Project Coordination Support: Assist project managers with scheduling, permitting, change orders, and material procurement tracking.
Vendor and Subcontractor Relations: Manage contracts, certificates of insurance, and compliance documents for subcontractors and suppliers.
Human Resources Administration: Assist and collaborate with the director of Human Resources.
Safety Compliance: Coordinate safety training sessions, maintain OSHA records, and ensure the office complies with industry-specific safety standards.
Communication Hub: Serve as the point of contact for internal and external communications, including managing inquiries from clients, stakeholders, and subcontractors.
Inventory and Supplies: Track and order office and field supplies, ensuring the smooth operation of office and on-site teams.
Budget Management: Monitor project and office budgets, prepare financial reports, and support cost control initiatives.
Quality Control: Ensure documentation standards for project files, contracts, and administrative processes are upheld.

Construction industry management
Quickbooks Online and Microsoft 365

The ideal candidate should be an experienced construction industry bookkeeper, proficient in Quickbooks, and in the Microsoft Office Suite, possessing a thorough understanding of general computer use and terminology.
