Administrative Assistant

NeoVista Equities has an opening for an entry-level Administrative Assistant position.

CORE RESPONSIBILITIES:

Answering phones, greeting visitors, and addressing general inquiries.

Scheduling appointments, maintaining calendars, and organizing meetings or events.

Collecting, sorting, and distributing incoming and outgoing mail.

Preparing communications, such as memos, emails, invoices, reports, and instructional documents.

Maintaining both electronic and physical filing systems and databases.

Assisting with event planning and meeting coordination, including logistics and materials.

Ordering and overseeing office supplies and equipment.

Performing basic bookkeeping, processing expense reports, or managing simple accounts.

Coordinating travel arrangements for employees or supervisors.

Providing administrative support to management and other staff, including document preparation and data entry.

DESIRED SKILLS AND QUALIFICTIONS:

College degree | Minimum of 1 year experience

Strong communication and interpersonal abilities for interacting with staff, clients, and visitors.

Experience with office software such as MS Office (Word, Excel, PowerPoint) and potentially other specialized programs.

Excellent organizational skills, including multitasking and maintaining attention to detail.

Ability to prioritize and manage competing tasks or deadlines.

Basic knowledge of office management practices, procedures, and equipment.

Often requires a high school diploma or equivalent, although some roles may prefer an associate degree or relevant experience.

TYPICAL WOROK ENVIRONMENT:

Works under supervision or directly with management, sometimes serving as the primary administrative point of contact for the team or department.
