We are a growing and dynamic direct mail provider seeking a detail-oriented and reliable Administrative Support / Bookkeeping Assistant to join our team. The ideal candidate will be highly organized and proactive for day-to-day financial and administrative tasks.
We are seeking a highly organized Administrative Support professional to assist with day-to-day office and bookkeeping functions. This role involves a variety of administrative and accounting-related tasks that require attention to detail, accuracy, and a strong ability to retain procedures.
The ideal candidate is dependable, proactive, and VERY computer literate, with a working knowledge of QuickBooks, Excel, Word, and Outlook.
Starting Hours - 10:30 am - 2:30 pm
Responsibilities
Provide administrative support for ongoing projects and client management.
File and organize job folders, maintain client material records, and ensure documentation is up to date.
Enter vendor bills, expenses, and client payments into QuickBooks accurately.
Track due dates and process vendor payments on time.
Record client deposits, prepare and log bank deposit slips, and reconcile accounts.
Monitor bank and credit card transactions and enter them into QuickBooks.
Track and report client postage requests, payments, and transfers to the postal account.
Assist management with daily administrative tasks and special projects as needed.
Qualifications
Prior administrative or bookkeeping experience preferred.
Basic to intermediate knowledge of QuickBooks (bills, payments, deposits, and reconciliations).
Proficient in Microsoft Excel, Word, and Outlook.
Very computer literate and comfortable learning new systems or software.
Strong organizational skills with excellent attention to detail.
Ability to multitask and follow through with consistency and accuracy.
Fast learner with excellent retention of processes and information.
Strong communication and problem-solving skills.
