About the Role
We are seeking a reliable and organized Administrative and Operations Support professional to handle payroll coordination, vendor payments, license renewals, and general administrative duties. The ideal candidate is detail-oriented, proactive, and enjoys managing multiple priorities in a fast-paced environment.
Key Responsibilities
Process vendor payments, track outstanding invoices, and maintain organized records.
Support weekly payroll: review hours, coordinate adjustments, and ensure timely submissions.
Maintain calendars and records for business and liquor license renewals, insurance policies, and permits.
Communicate with vendors, managers, and staff to coordinate payments, deliveries, and required documentation.
Assist with onboarding new employees, maintaining files, and preparing basic reports.
Coordinate catering orders, including communication with clients, order tracking, invoicing, and delivery coordination.
Collaborate with accountants on month-end and year-end tasks as needed.
Qualifications
Prior experience in office administration, payroll coordination, or business operations (hospitality experience is a plus).
Strong organizational skills and attention to detail.
Familiarity with QuickBooks, Gusto, or similar accounting/payroll platforms preferred.
Excellent communication and follow-up skills.
Reliable, proactive, and comfortable managing multiple priorities.
Japanese language skills are a plus.
Schedule & Compensation
This is a part-time, hybrid position, with a combination of in-office and remote work each week. Compensation will be based on experience and level of involvement.
