Description We are offering an opportunity for an Administrative Assistant to join our team in the financial services industry. Based in Rochester, New York, this role involves an array of administrative duties, including the management of office supplies, coordination of office activities, and providing support to our staff. Responsibilities: Coordinate and manage office activities to ensure efficiency Handle and manage active calendars, including scheduling meetings and appointments Manage incoming and outgoing office correspondence, including emails, mails, and packages Keep track and manage office supplies inventory and place orders as necessary Collaborate with the IT department on all office equipment related issues Assist in the organization and scheduling of staff meetings and other office-related events Handle confidential information in a professional manner Prepare and format information for internal and external communication such as memos, emails, presentations, and reports Assist colleagues whenever necessary Utilize MS Office and data entry skills to manage and oversee department projects. Requirements Proven experience in the field of Administrative Assistance within the Financial Services industry. Proficiency in Data Entry tasks, displaying a high level of accuracy and attention to detail. Demonstrated competence with MS Office Suite (Word, Excel, PowerPoint, Outlook). Experience in managing Department Projects, including planning, execution, and reporting. Excellent communication skills, both written and verbal. Ability to multitask effectively in a fast-paced environment. Ability to maintain confidentiality of sensitive information. Strong organizational and time management skills. Experience in handling administrative duties such as filing, typing, copying, binding, scanning, etc. Ability to work independently and as part of a team. Problem-solving skills and the ability to make decisions under pressure. Flexibility and adaptability to changing workloads. Demonstrated commitment to providing excellent customer service.
