GENERAL PURPOSE:As the primary responsible officer for credentialing (degree/diploma-related processes) for the University of Rochester, the Associate Registrar for Graduation and Degree Conferral assumes lead responsibility for the compliance, maintenance, and integrity of graduation and degree records at the University. Directs a team charged with the maintenance of graduation and degree records to ensure the accuracy and validity of credentials awarded by the University of Rochester, including but not limited to Board of Trustees lists, commencement program coordination, and special (backdated, posthumous) degree conferrals. Coordinates degree processing operations with the degree-granting academic units, communicates with administrative stakeholders across the University as well as current and former students regarding policies, procedures, and practices. Participates in the development of new policies and procedures, interprets, educates, implements, and makes exceptions to related policies (federal, state, university, school, etc.). Directs the development of the degree certification calendar, processing of electronic, paper, backdated, and duplicate credentials, exercising judgment and engaging with policy directives regarding validity, and the diploma production and distribution cycles. The Associate Registrar exercises sound judgment, thinks critically, and works collaboratively with faculty, staff and internal partner offices including but not limited to the Office of the President (liaison to the Board of Trustees) and Event and Classroom Management. As the University introduces new strategic initiatives, this position is critical to the development and deployment of initiatives related to and supporting on-time graduation.RESPONSIBILITIES:
Directs, manages, and monitors the business process design and workflow for the degree/diploma credential processes.Ensures compliance to process and timeline in each of the University schools.
Communicates with vendors of electronic, original paper, and duplicate diplomas; approves final proof for each diploma, directs the processes for ordering, delivery and mailing of all diplomas.Coordinates and tracks all diploma template changes and manages approved signatures (and changes) on all University diplomas.
Manages and ensures on-time execution of individual student academic progress reviews, degree awards, and credentialing in UR Student.Coordinates reporting of credentials awarded to the National Student Clearinghouse.
Manages needs of assigned staff and student assistants including, but not limited to: approving hiring decisions, identifying and providing training, engaging in ongoing direct supervision, addressing personnel issues and actions, and conducting performance reviews.
Works directly with University school registrars, students, and student services offices to ensure that student expected completion dates (ECD) are accurate in the student system, encourages the completion of the application for graduation and updates to student mailing addresses, through ongoing direct communications, to ensure that diplomas reach graduates as intended.
Runs reports from Workday Student and uses the data to generate commencement invitation lists for the University. Develops and monitors the exception process for commencement invitation lists, works directly with University schools to include/approve exceptions, and communicate to the commencement program leaders (as well as the campus community) about this population on a regular basis.Serves as a participant in University commencement ceremony planning.
Creates documentation and provides regular training and professional development opportunities for faculty and staff in the degree conferral and graduation planning space.
Coordinates with vendor for procurement of University issued diploma covers.Organizes the distribution of diploma covers to each of the University schools and departments for commencement ceremonies.
Analyzes existing business processes and develops enhanced uses for tracking progress to degree, and student success. Develops process improvements and delivers enhancements to improve efficiencies. Makes recommendations and implements changes based on feedback received and information gathered.
Serves as the Office of the University Registrar subject matter expert in degree conferral and graduation.Works closely with University IT and Workday to research and implement new tools and resources as they are released.Suggest enhancements, request reports to support work, and engage in professional development opportunities to further knowledge and expertise in this space.
Exhibits a strong working knowledge and the ability to interpret all applicable university policies, procedures, and practices related to degree award/conferral, FERPA and federal guidelines protecting academic records. Responsible for the integrity of information presented on University diplomas. Ensures other Registrar team members are educated on and appropriately applying university policies and procedures, FERPA and federal guidelines.

Bachelor¿s Degree required
Master¿s Degree preferred
5 years of relevant experience required;
or equivalent combination of education and experience required.
Training in higher education software and federal compliance preferred.
Ability to read, analyze and interpret information from a variety of policy and procedure manuals required.
Ability to solve practical problems, adapt or modify existing systems or procedures to accommodate new situations required.
Ability to work independently, and as part of a team required.
Experience or exposure to Workday Student preferred
Knowledge of MS Office Suite and statistical applications (such as SPSS or SAS) preferred.
Experience with project management and business process reengineering preferred.
Strong project management skills required.
Experience participating in mid to large-scale application development initiatives preferred.
Ability to gather and analyze data and prepare reports required.
Experience using analytical and decision support tools preferred.
Ability to maintain knowledge of current technological developments/trends in area of expertise required.
Excellent organizational and management skills required.
Ability to maintain confidentiality of sensitive and protected data required.
Ability to establish priorities required.
Ability to assess the impact of changes across the institute and react accordingly required.
Experience training multiple constituencies preferred.
Ability to work effectively with faculty and staff including leading group sessions and/or giving presentations required.
