Job Purpose:The primary function of this role is to provide excellent customer service to all guests that interact with EP, creating a positive guest experience.Job Responsibilities:Essential Functions:Serves visitors by greeting, welcoming, directing them according to internal procedures.Provides visitors with accurate information.Notifies appropriate employee of visitor arrivals.Directs visitors by having access to and understanding employee and department directories.Ensures security of access to organization by adhering to current visitation procedures, including daily sign-in sheets and securing them per internal procedures, and issuing visitor badges.Operates multi-line phone system, to include retrieving phone messages from the general mailbox throughout the day and paging as requested.Posts outgoing mail, using department billing codes and prepares and posts certified mail.Runs monthly postage report, the first day of the month, and provide to Finance.Makes copies, creates signage, and performs minimal administrative duties as requested.Sorts incoming and outgoing mail. Notifies departments of package arrivals.Keeps a safe and clean reception area by complying with procedures, rules, and regulations.Ensures work area is wiped down accordingly.Provides input on the Administrative Standard of Operations Procedures.Non-Essential Functions:Participate on various committees as able.Documents and schedules all appointments/meetings for HR and the Clinical team on calendar for the Triangle Room and posts weekly schedule at beginning of the week as needed.Deliver mail as needed.Order supplies as requested.Assists with various company programs/events as needed.Performs other duties as assigned by Executive Assistant and/or designee within scope of practice.Compliance:Must maintain confidentiality and exercise discretion concerning all business-related matters, including but not limited to board/vendors/donors’ names, investigations, finance, operations, and employee relations matters.Must be willing to complete specific company required training as mandated by our governing agency, Office for People with Developmental Disabilities (OPWDD), at time of hire and annually thereafter.Must adhere to all departmental /company policies & procedures at all times & ensure compliance with direct report.Professional Deportment:Consistently demonstrate EPI’s Values:1.Integrity2.Courage3.Adaptability4.RespectEducation and Experience: Minimum HS Degree in related field, with minimum of two (2) years’ experience in customer service.Computer:Familiarity with Microsoft programs to include Email, Word, Excel, PowerPoint, Teams & Zoom.Must be able to use a computer.Qualifications:Must possess and maintain a valid NYS Driver’s License. A vehicle is required for business travel.Strong customer service interpersonal/professional skills to effectively collaborate, resolve issues, and maintain confidentiality.Good verbal and written communication skills.Demonstrated ability to use poise, tact, and diplomacy, during difficult and/or stressful situations, resulting in ability to deescalate situations.Proven ability to work in a fast-paced environment, with demonstrated ability to manage multiple tasks, and customer requests, while meeting deadlines.Physical Demands:The physical demands described below are representative of those that are required to successfully perform the essential functions of this job.
