Senior Retirement Community is seeking an Assistant Manager / Accounting Manager. This is a full-time, exempt, salaried, supervisory position, requiring a minimum of forty hours and five days per week. The position is scheduled Monday through Friday with availability as on-call for emergencies Monday through Sunday.

The Assistant Manager / Accounting Manager acts as the manager in the absence of the General Manager. They participate and help provide leadership in the development and implementation of all facility programs and functions including direct oversight of facility marketing, activities, food service, maintenance, housekeeping, fitness, transportation and RCF (assisted living) programs.

The position assumes overall responsibility for maintaining complete accounting records of all financial transactions for the company and produce monthly financial reports in accordance with general accounting principles and company policies. The Assistant Manager / Accounting Manager also serves as Personnel Manager and Department Head for the front desk and business office staff.

Duties include but are not limited to:

Recruit, employ, orient, and train the business office staff. Supervise, instruct, and evaluate the business office staff. Prepare the monthly staff work schedule for business office staff.

Assist with recruitment, employment, orientation, and training of all facility staff.

Maintain appropriate staffing of the front office Receptionist /Attendants in accordance with approved staffing models and budgeting constraints.

Serve as the facility human resources representative and administer the facility employee benefit package.

Review, tally, and authorize all staff time records and payroll documents for the Administration Department.

Observe budget guidelines, seeking the General Manager’s prior approval if any item exceeds the established budgetary levels.

Prepare Purchase Orders for all purchases of supplies, equipment, materials, etc. Maintain a monthly ledger of all expenditures, keeping balances current at all times.

Responsible for business office budget and purchases. Maintains inventory control for business supplies.

Compute and distribute the residents’ monthly billing statements. Collect rent and service collection, bank deposits and formal reporting for accounts receivable and payables.

Maintain and manage petty cash.

Verify all Purchase Orders. Audit and pay all payables. Balance books and compile reports showing the end results from monthly operations, i.e., cash receipts and disbursements, profit and loss, and any other items pertinent to the business operations.

Maintain employee personnel files, calculate employee wages from time records, and issue semi-monthly payroll checks.

Coordinates all new hire, interim and termination paperwork for all departments.

Ensure the correct and accurate accounting classification of all expenditures and documents.

Prepare the monthly worker’s compensation report and quarterly payroll tax reports.

Oversees resident move-in / out programs in coordination with Maintenance, Housekeeping and Marketing departments.

Participates in marketing programs, tours, and events.

Complete assignments, projects, and other responsibilities as delegated by the General Manager.

Job Requirements:

Experience with Sage 50 Accounting Software preferred

Must be experienced with Microsoft Office Software

Minimum of 2 years in a supervisory role

Minimum two years’ experience in bookkeeping and/or accounting
