Administrative Assistant

Summary/Objective

The purpose of the apprenticeship program is to provide uniform training for people who desire

to become skilled Journeymen in the Mechanical Insulation field.

Essential Functions

As an Administrative Assistant, you will play a vital role in supporting our dynamic team. You

will be responsible for managing daily administrative tasks to ensure our office runs smoothly.

This position is ideal for organized, detail-oriented individuals who thrive in a fast-paced

setting.

Competencies/Duties

Provides administrative support to ensure efficient office operations.

Maintains physical and digital filing systems.

Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs

for incoming packages and assists clients and other visitors.

Responds to emails and other digital queries and correspondence.

Manages calendars for senior staff, including making travel arrangements.

Drafts and edits letters, reports, and other documents.

Inputs and updates information in databases and spreadsheets.

Prepares meeting agendas and takes meeting minutes.

Coordinates logistics for meetings, including room setup and catering.

Uses word processing and presentation software to create and edit documents.

Operates and maintains office equipment, including printers, copiers, and fax machines.

Works with maintenance staff and outside vendors to ensure office equipment is in good working

order and office supplies are always on hand.

Research as requested and compiles and summarizes information for reports or

presentations.

Works with sensitive information with discretion to maintain confidentiality and security and

ensure compliance with privacy policies and regulations.

Ensures that deadlines are met and adapts to changing priorities.

Presents a positive and professional image for the organization.

Work Environment

This job operates in an office environment. This role routinely uses standard office equipment

such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee

to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk or hear. The

employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with

hands and arms.

Position Type and Expected Hours of Work

This is a part-time position (32 hours a week). Typical days and hours of work are Monday

through Friday 7am – 4pm.

Within the work week you will need to be flexible on what 4 days are needed during each

week.

Work to be done primarily in the office unless needed onsite.

Travel

Travel is primarily within Oregon and southwest Washington area during the business day when

needed.

Required Education and Experience

Good communication and people skills.

Confident understanding in various projects and materials.

Able to learn and execute the processes and protocols required by JAC

At least 10 years of experience in office management.

Classification

Exempt Salary Position

Administrative Assistant wage range is $27.00 - 35.00 per hour with no benefits.

Wages will be based of experience.
