Receptionist

Description We are looking for a receptionist to join our team in Austin, TX. In this role, you will be the first point of contact for all visitors, ensuring a detail oriented and welcoming environment. You will also be responsible for various administrative tasks, including coordinating meetings and handling customer inquiries. This role is within the workplace experience function and is key to providing world-class customer service to our clients and visitors. Responsibilities: Serve as the first point of contact for all visitors, providing a friendly and welcoming atmosphere Process visitor and parking passes, adhering to security protocols Liaise with various departments to ensure client needs are met Coordinate meetings and handle necessary equipment care Resolve inquiries or complaints from employees, guests, and co-workers in a detail oriented and customer-service-oriented manner Oversee janitorial or maintenance work orders as needed and address issues with vendors or staff as required Follow property-specific security and emergency procedures, notifying management to ensure the safety of all individuals in the building Multi-task and adjust tasks throughout the day to best serve client needs Assist with facility moves and events Handle deliveries, ensuring they are received and shipped out in a timely manner. Requirements Excellent customer service skills and ability to manage customer complaints effectively. Proficient in using Microsoft Office Suites including Excel, Word, and Outlook. Familiarity with receptionist duties and responsibilities, including managing deliveries and coordinating meetings. Ability to follow standard procedures and security protocols. Experience in supervising and coordinating with vendors. Knowledge in managing facility and property related tasks. Strong communication skills, both written and verbal. Ability to use Mindset Software. Proficiency in handling onsite work and managing work orders. Punctual and reliable, with a commitment to providing a high level of customer service. Experience with multi-tasking and working in a fast-paced environment. Familiarity with security protocols and the ability to ensure the safety and security of the facility. Experience in coordinating meetings and managing visitor access. Familiarity with salary structures is an advantage. Reliable transportation is necessary. Ability to adhere to all company policies and procedures. Must be able to maintain confidentiality of sensitive information. Experience in working with a team and individually. Ability to handle high stress situations and remain calm under pressure. Must be proactive, with a can-do attitude and willingness to learn.
