Job Overview:Performduties to provide administrative assistance and support to the Marketing & Communications function, supporting brand awareness, growth marketing, customer initiatives, and associate programs.JYour Responsibilities:The job duties listed are typical examples of the work performed by positions in this job classification. Assist marketing leadership/team by providing administrative support such as scheduling meetings, preparing presentations, updating calendars, coordinating photo shoots, etc.

Maintain content library and sales collateral inventory, making sure all resources are accurate and readily available.

Support marketing team initiatives, including proofing content, creating tracking links, building marketing lists, securing SME participation, etc.

Assist on in-person events, including preparing nametags and registration lists, ordering items, helping with setup and breakdown, etc.

Serve as Liaison and collaborate with internal departments to manage the intranet and mobile applications for FirstService Residential associates. Manage site content, navigation, usability, appearance, and functionality.

Develop and support internal executive’s outreach strategies to associates to align executives and presents them as the face and driver of culture in the organization.

Manage our in-office TV network to promote content salient to our associations across the region.

Liaise with printers and other promotional vendors to ensure timely delivery and order accuracy.

Support the communication of internal awards programs to our associates through normal and innovative platforms.

Provide support on assigned projects, meeting deadlines, and objectives.

Always Conduct business with the highest standards of personal, professional, and ethical conduct.

Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.

May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.

Ensure all safety precautions are followed while performing the work.

Follow all policies and Standard Operating Procedures as instructed by Management.

Perform any range of special projects, tasks and other related duties as assigned.

Skills & Qualifications:

Must have a high school diploma or its equivalent (bachelor’s degree a plus) and 1-2 years of functional experience; or equivalent combination of education and experience.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

Strong administrative background.

Excellent verbal and written communication skills.

Detail oriented and strong organizational skills.

Must have strong proficiency in Windows and Microsoft Office, including but not limited to Word, Excel, Power Point, and Outlook. Proficiency researching the Internet.

Ability to meet deadlines and work well under pressure.

Ability to work in a team environment as well as independently and be self-driven.

Critical thinking, problem solving, judgment and decision-making abilities.
