The mission of The University of Texas M. D. Anderson Cancer Center is to eliminate cancer in Texas, the nation, and the world through outstanding programs that integrate patient care, research and prevention, and through education for undergraduate and graduate students, trainees, professionals, employees and the public.The primary purpose of this position is to support the administrative function for the expanding Faculty Academic Career Development Programs in Academic Affairs.Key Job FunctionsFACD and Faculty Committee SupportSupports FACD leadership in planning FACD and provides committee meetings content and agendas; oversee calendar management, creates agendas, attends meetings, takes minutes, creates meeting handouts/presentation slides and tracks completion of action items. Faculty Director and Administrative Director of FACD (weekly FACD meetings, bi-weekly FACD/VP AA meetings plus ad hoc meetings for planning events or updates) Junior, Mid-Career and Senior Faculty Career Committee (3committees total, approximately 100 members - monthly meetings for each committee) Academic Career Development Committee (ACDC) Leads (9) (monthly meetings with bi-monthly including the CAO and VP AA) Subcommittees of Career Committees (fluctuating between 6-12 subcommittees and 24-48 members - monthly meetings or ad hoc in between for all subcommittees) FACD CommunicationsTeams Site Management for FACD and CommitteesOversees and manages FACD Team, ACDC Leads and 20-24 FACD Committees' TEAMS sites developed to share information and organize resources for faculty and leads.Oversees creation and organization of FACD TEAMS sites; Creates and manages site access, creates document folder structure, removes oldfiles and redundant files, creates and manages TEAMs sites for FACD and each FACD committee. Junior, Mid-Career and Senior Faculty Career Committee (3 committees total, approximately 100 members) Academic Career Development Committee (ACDC) Leads (9) Subcommittees of Career Committees (fluctuating between 6-12 subcommittees and 24-48 members)Chair ToolkitFacilitates creation of tool kit for department chairs centered around faculty development including but not limited to topics of mentoring and acquisition of leadership skills.Creates and manages web based platform and provide user service for any technical challenges.Maintains and updates toolkit content, resource library, and manages office hours for chairs.FACD AcademySchedules, coordinates, advertises and manages live and zoom. Academy presentations and courses for the Academy Cohort. Secures Executive Leadership Team Members and/or executive involvement throughout the year long Academy with calendar management, correspondence, sponsor and faculty interactions and contract management when required Coordinates and manages Zoom panels with Q&A, polls, and chat Plans, coordinates and executes onsite and offsite networking events for the cohortsChief Academic Office (CAO) Pop-UpsLeads efforts to plan, schedule and execute monthly CAO Pop-Ups;Secures space and catering, event management, determines what educational and promotional materials are needed for each pop-up;Coordinates with Communications to ensure events are advertised to all appropriate groups and through various MDA channels;Manages pop-up expenses and procurement activitiesAcademic Affairs (AA) Team StorefrontMaintains the content of the AA's storefront ensure all events are listed information is up to date past recordings are posted and current draft language for web page entries Acts as backup to CAO storefront editorFACD Faculty Mailbox and Mail GroupsOversees the creation and maintenance of distribution mail groups for FACD Committees. Assist the FACD Team in monitoring and responding/filtering messages received in the committee mailboxes.AA Team SupportSupport to other AA team members as needed in the coordination of events, meeting management, and committee support; back up to VP, AA's Executive AssistantEducationRequired: Bachelor's degree in Business Administration or related field.Preferred: Master's degree.ExperienceRequired: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis.
