The mission of The University of Texas M. D. Anderson Cancer Center is to eliminate cancer in Texas, the nation, and the world through outstanding programs that integrate patient care, research and prevention, and through education for undergraduate and graduate students, trainees, professionals, employees and the public.The primary purpose of this position is to provide program coordination, including business and financial management, and administrative support to IGNITE, a training navigation program that advises eligible students, trainees, and early-stage investigators on funding for research education and training and health disparities research available from the National Cancer Institute. IGNITE is a collaboration between the Cancer Center Support Grant's (CCSG's) Community Outreach & Engagement (COE) and Cancer Research Training & Education (CRTEC) components. Coordinates, schedules, promotes and completes administrative tasks (e.g., reserving rooms, purchasing, ordering catering, confirming speakers, etc.) for programs and events organized by IGNITE and other collaborations between COE and CRTEC. These include but are not limited to educational series, webinars, workshops, special training sessions, and meetings or events.

Maintains a master catalog/calendar for events and assists with advertising and promotions events (e.g., creating/designing marketing materials, submitting website updates, etc.) and facilitating exchange of information to internal and external publications (e.g., newsletters, mailing lists, websites, LMS courses, etc.)

Provides administrative support to IGNITE and other joint COE-CRTEC programs, including scheduling, sending calendar invitations, creating/distributing agendas, minutes, meeting summaries, etc.

Setting up evaluations/surveys and maintaining a database of attendance/participation in programs and events.

Financial, Business & Administrative Support

Maintains current knowledge of expenditures and reimbursement guidelines on accounts and complies with institutional policy and procedures related to monitoring and spending of funds

Maintains electronic and paper files related to the business functions of the IGNITE and other COE-CRTEC collaborations, including budgetary documents, assists with tracking expense reports, assists with financial analysis, including required support documentation

Gathers materials for use in preparing reports and presentations, as needed, creates/formats presentations requiring use of graphic design software such as PowerPoint

Coordinates travel for staff and invited guests including registrations, hotel accommodations and transportation, according to institutional and departmental travel policies, collects receipts, prepares, and submits timely and accurate travel reimbursements for invited guests; assists staff with timely travel reimbursements; monitors the receipt of reimbursement and verifies the amount against documentation

Ensures procurement/financial transactions are entered/submitted for approval with the required approvals and supporting documentation (e.g., ProCard purchases, requisitions/purchase orders, additional pay transactions, contract reviews, etc.)

Coordinates financial transactions with other departments to ensure accurate and timely allocation of costs

Other Duties as AssignedThis position is primarily remote (within the state of Texas) with occasional onsite presence required.EducationRequired: Bachelor's degree in Business Administration or related field.Preferred: Master's degree.ExperienceRequired: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.Preferred: Experience working in a university or medical school/academic medical center.
