South Puget Sound Community College (SPSCC) seeks a highly motivated and qualified individual for the position of Human Resource Consultant 1 to support the Human Resource department. This position represents the College, the Human Resources Office, and the other administrative offices in a professional manner, maintaining confidence and projecting a positive image to applicants, students, faculty members, co-workers, and members of the community. This position coordinates onboarding and is the first point of contact for all new employees and the general public. Excellent customer service and prompt responses are required to establish good working relationships internally and externally.

What You'll Do
Duty: New Employee Processing
Tasks include:
Eligibility verification of all new employees
Verify incoming Personnel Action Forms (PAF) for accuracy and completeness
Contact new employees to explain the process and requirements for verifying employment eligibility
Verify eligibility for employment on or before date of hire on Form I-9 in compliance with federal rules and regulations
Review forms (W-4, direct deposit, retirement reporting, etc. for all new employees (all new hire paperwork)
Track and record sexual misconduct screening for all part-time hourly employees and adjunct faculty using Excel tracking database
Order background checks in NEOGOV for all part time employees and adjunct faculty
Enter all new employees, student employees and volunteers into HR/Payroll Information system (ctcLink) in a timely manner
Enter and maintain employee data in the HR/Payroll information system (ctcLink) within 2 days of completing hiring paperwork
Send employee ID and required trainings email to all new employees and supervisors the day after input
Notify Student Employment of all student employees entered daily
Coordinate receiving transcripts from new hires and follow up with outstanding
requests
Correspond with IT Services regarding new employees
Create IT ticket for each new hire or rehired and entered employee for all part time hourly, part time faculty (Adjunct) employees
Work closely with Student Employment, supervisors, and student employees to verify paperwork is completed correctly
Verify volunteer information is submitted correctly, explain the process and timesheet requirements
Duty: ctcLink Data Maintenance
Tasks include:
Maintain employee data including combo code changes, supervisory changes, and changes to existing employee data as needed
Run new hire query bi-weekly to capture employee’s needing their primary email address updated in the system
Work closely with Instruction office Budget Manager and Program Specialist to make corrections to adjunct records for contract processing
Communicate and help IT with employee data related questions in relation to the directory and other information systems that feed from ctcLink data
Work closely with the Corporate and Continuing Education Program at Lacey campus in making corrections to non-credit instructor records for contract processing
Duty: Adjunct Faculty Benefit Coordination
Tasks include:
Quarterly review of benefit eligibility
Adjunct faculty onboarding
Coordination of benefits with other colleges
Duty: Reception & General Office Support
Tasks include:
Serve as receptionist for the Human Resource Office: answer main office phone line, answer questions, and assist the public and employees. Respond to inquiries from employees, managers and members of the public; assess client needs, identify and evaluates options, and recommends courses of action
Provide clerical, technical, and scheduling support to all areas of human resources as needed
Open, sort and distribute mail for the Human Resources office daily
File documents in employee files; including but not limited to adjunct faculty and staff, contracts, correspondence, etc.
Ensure personnel data and other confidential information is handled sensitively and kept secure
Perform complex computer tasks, such as merging and sorting, data entry, and developing and maintaining spreadsheets and database files including: composing and editing correspondence, emails and reports, preparing labels and files
Order office supplies
Duty: Manage Professional Development Funds and Training Systems
Tasks include:
Maintain databases and employee training data using Excel and Get Inclusive software
Collect department new hire checklists and training certifications; log completed trainings in excel training database
Enroll employees for training and process employee development program requests through CCE
Maintain P-Card expenditure records for Professional Development accounts, balancing to
monthly invoices
Maintain budget expenditure records for Professional Development Funds, balancing monthly budget reports
Prepare A19s and purchase requests to pay employee tuition reimbursements upon completion or courses
Duty: Manage HR Purchasing, Budget, & Track Expenditures
Maintain P-Card and Foundation card expenditure records for HR, balancing to monthly invoices, reconciled in the ctcLink system
Maintain budget expenditure log for HR budget
Enter purchase requests into ctcLink Procurement Database for annual blanket and monthly purchase orders
Duty: Annual duties and other duties as assigned
Tasks include:
Perform website changes and content edits
Annual coaching contracts
Annual Whistleblower notification
Annual organizational chart coordinator
Qualifications You Possess
Minimum Qualifications
A Bachelor’s degree with focus on business, human resources, social or organizational behavioral sciences, or related field OR equivalent education/experience.
Strong organizational skills, ability to work independently and prioritize multiple tasks
Preferred Qualifications
2 years of experience in a broad-based HR role
Experience using ctcLink (PeopleSoft, HRIS) and NeoGov (ATS)
Advanced experience with computers and software applications, specifically MS Office suite: Outlook, Word, Excel, PowerPoint, and Access
