Property Manager / Real Estate Assistant

Job Description:

We are seeking a highly motivated and adaptable Property Manager / Real Estate Assistant to join our team. As a real estate professional, you will be responsible for overseeing the day-to-day operations, maintenance, and tenant relations at our Multiple locations. Responsibilities:

Efficiently manage all aspects of property operations, including leasing, rent collection, maintenance coordination, and tenant communications.

Conduct regular property inspections to ensure compliance with safety regulations and proper upkeep of the premises.

Handle tenant inquiries, complaints, and resolve any issues in a timely and professional manner.

Collaborate with vendors and contractors to ensure prompt and high-quality property maintenance and repairs.

Prepare and manage property budgets, financial reports, and records.

Implement effective marketing and leasing strategies to attract and retain tenants.

Stay up-to-date with local laws and regulations governing property management and ensure compliance.

Qualifications:

Previous experience as a real estate assistant/property manager or a similar role.

Strong knowledge of property management principles, practices, and local regulations.

Excellent communication and interpersonal skills.

Proven ability to handle tenant relations and resolve conflicts effectively.

Strong organizational and multitasking abilities.

Proficient in property management software and Microsoft Office Suite.

Knowledge of financial and budgeting principles.

Relevant certifications or licenses (e.g., Real Estate License, Certified Property Manager) preferred but not required.

Documenting transaction details

Entering financial transactions in databases

Organizing financial reports

Fact-checking accounting

Notifying senior staff of accounting errors

Greeting clients and visitors with a positive, helpful attitude.

Assisting clients in finding their way around the office.

Announcing clients as necessary.

Assisting with a variety of administrative tasks including copying, faxing, taking notes and taking messages

Preparing meeting and training rooms.

Answering phones in a professional manner, and screening and routing calls as necessary.

Assisting colleagues with administrative tasks.

Performing ad-hoc administrative duties.

Sorting and distributing mail.

Providing excellent customer service.

Scheduling appointments.

Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.

Providing real-time scheduling support by booking appointments and preventing conflicts.

Using computers to generate reports, transcribe minutes from meetings

Maintaining polite and professional communication via phone, e-mail, and mail.

Anticipating the needs of others in order to ensure their seamless and positive experience.

Requirements:

Consistent, professional dress and manner.

Excellent written and verbal communication skills.

Attention to detail and accuracy.

Able to multi-task, prioritize, work under pressure and meet deadlines.

Ability to communicate complex data clearly.

Excellent data entry skills.

Great interpersonal and customer service skills.

Competency in Microsoft applications including Word, Excel, and Outlook.

Good time management skills.

Experience with administrative and clerical procedures.

Able to contribute positively as part of a team, helping out with various tasks as required.
