Description We are in search of an Administrative Coordinator based in Irvine, California. This role is primarily in the real estate industry, and the candidate will be expected to facilitate relationship building with meeting planners and tenants, coordinate conference facilities, and provide a range of other administrative duties. This position offers a long-term contract employment opportunity.Responsibilities: Coordinate and execute community events to foster relationships with tenants and meeting planners. Establish and manage concierge programs and other convenience services for the property. Handle the scheduling of conference facilities and meeting rooms for the property. Collaborate with clients to understand event needs including space, physical set-up, AV and technical requirements, and catering. Market conference center and event management services to current tenants and prospective clients. Develop and maintain budgets for scheduled client events, and solicit competitive bids from external service providers as needed. Prepare and distribute tenant newsletters, electronic blasts, and property marketing materials. Ensure property condition issues are addressed promptly by submitting work order requests. Coordinate travel arrangements including securing air, hotel, and car reservations. Maintain a systematic filing system for efficient data retrieval. Participate in special department projects as required. Collaborate with other administrative assistants to distribute work and ensure timeliness and accuracy.Requirements Must hold at least 3 years of experience in an administrative role Proficiency in Microsoft Outlook is necessary Experience in Commercial Property Management is required Real Estate industry knowledge is a significant advantage Excellent organizational and multitasking abilities Strong communication and interpersonal skills Ability to work independently and as part of a team High level of accuracy and attention to detail Problem-solving skills and ability to handle confidential information Bachelor's degree in Business Administration or related field is preferred Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
