Office Assistant Bookeeper & Executive Assistant

We are seeking a detail-oriented assistant Bookkeeper and Administrative Assistant to wear multiple hats including data entry for Quickbooks, providing administrative support and managing shipping. This important position will ensure the smooth operation of our office and accurate financial reporting. The ideal candidate will have a strong background in bookkeeping, excellent organizational skills, tech savviness and a can-do attitude to roll up their sleeves and help where needed.

Key Responsibilities

Assistant Bookkeeping:

- Maintain accurate financial records, including accounts payable/receivable and general ledger entries.

- Enter new customer information

- Process invoices, purchase orders, expense reports, and payments in a timely manner.

- Deposit checks, reconcile bank statements and prepare monthly financial reports.

- Assist with budget preparation and financial forecasting.

- Pay bills

- Keep vendor documentation up to date

Administrative Support:

- Provide general administrative support, including answering phones, managing correspondence, and scheduling

meetings.

- Organize and maintain physical and digital filing systems.

- Assist with HR functions such as maintaining personnel records.

- Coordinate office supplies and equipment maintenance.

- Support project management tasks and other team initiatives as needed.

Shipping and receiving:

- Take the lead on kit shipping including printing protocols, assembly and record usage

- Ship products domestically or internationally including document generation and tracking

- Manage incoming shipments including categorization, paperwork and internal notifications

Qualifications:

- Proven experience as a bookkeeper.

- Proficient in Quickbooks, excel and MS Office Suite.

- Strong understanding of basic accounting principles and financial reporting.

- Excellent organizational and multitasking skills.

- Strong attention to detail and accuracy.

- Effective communication skills, both verbal and written.

- Experience in a scientific or laboratory setting is a plus.

- Willingness to manage a diverse range of responsibilities.
