Title: Office Administrator

Location: Bel Air Guest Home (1440 N Stanley Ave, Los Angeles, CA 90046)

Job Summary:

As the Office Administrator at our Adult Care Facility, you will play a vital role in ensuring the smooth operation of administrative functions within the organization. You will be responsible for managing various clerical and administrative tasks to support the efficient operation of the facility. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The Office Administrator will work closely with staff, residents, and their families to provide exceptional service and support.

Key Responsibilities:

Administrative Support:

Provide administrative support to the facility's management team, including scheduling appointments, managing calendars, and handling correspondence.

Maintain accurate and up-to-date resident records, including admission and discharge paperwork, medical records, and billing information.

Assist with the coordination of resident activities, events, and appointments.

Manage office supplies inventory and place orders as needed.

Front Desk Management:

Serve as the primary point of contact for visitors, residents, and their families, providing exceptional customer service and assistance.

Answer phone calls, respond to inquiries, and direct calls to the appropriate staff members.

Greet visitors, check-in residents, and ensure a welcoming and professional environment at the front desk.

Billing and Financial Management:

Assist with billing processes, including generating invoices, processing payments, and reconciling accounts receivable.

Work closely with the finance department to ensure accurate billing and financial reporting.

Address resident and family inquiries regarding billing and financial matters in a timely and professional manner.

Data Management and Reporting:

Maintain electronic and paper records in compliance with regulatory standards and organizational policies.

Prepare and distribute reports as needed, including occupancy reports, financial statements, and resident satisfaction surveys.

Ensure confidentiality and security of sensitive information at all times.

Team Collaboration:

Collaborate with other departments, including nursing, activities, and maintenance, to support the overall operation of the facility.

Communicate effectively with staff members to coordinate administrative tasks and address any issues or concerns that may arise.

Foster a positive and supportive work environment by demonstrating teamwork and professionalism.

Qualifications:

High school diploma or equivalent required.

Proven experience in administrative support roles, preferably in a healthcare or assisted living setting.

Proficiency in Microsoft Office suite (Word, Excel, Outlook)

Excellent organizational skills and attention to detail.

Strong communication and interpersonal skills.

Ability to prioritize tasks and manage time effectively in a fast-paced environment.
