Administrative Coordinator/Receptionist

Position is non-exempt

Hourly salary range: $20.00 to $25.00 per hour DOE

Schedule: Monday to Friday 7:30 am to 5:00 pm

Job Summary

Company is seeking a highly organized and detail-oriented Administrative Coordinator/Receptionist to join our team. The ideal candidate will provide comprehensive administrative support to ensure the smooth operation of our office. This role requires excellent communication skills, a proactive approach, computer literacy, and the ability to multitask in a fast-paced environment.

Key Responsibilities

Answer all incoming office phone calls

Intake customer inquiries and schedule appointments for the sales team

Maintain schedule of the sales team

Manage and maintain office files and records, ensuring they are organized and up-to-date

Maintain office supplies inventory by checking stock and ordering supplies as necessary

Maintaining and organizing the common areas of the office

Support the Office Manager in HR-related tasks, including onboarding new employees and maintaining employee records

Use QuickBooks Online to generate and send invoices to customers

Manage and maintain employee time sheets and payroll records

Schedule roofing inspections with local building departments

Assist with special projects and perform other administrative duties as assigned

Qualifications

High School diploma required

Associate or bachelor's degree preferred

Minimum of 3 years of experience in an administrative role

Ability to maintain a high level of confidentiality with regard to employee information discovered in HR processes

Excellent written and verbal communication skills

Strong organizational and time management abilities

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Proficiency in QuickBooks Online

Attention to detail and a high level of accuracy

Proficient in English and Spanish languages

Ability to type at least 50 word per minute

Experience with dispatching
