Front Desk Coordinator

Description Our client, a well-established organization in the HVAC Industry, is looking for a friendly, professional, and highly organized Front Desk Coordinator to be the face of their office. This key role will involve managing front desk operations, providing excellent customer service, and ensuring that daily office functions run smoothly.As the Front Desk Coordinator, you will be the first point of contact for clients, visitors, and employees, responsible for creating a welcoming environment and providing administrative support. The ideal candidate will have excellent communication skills, be detail-oriented, and possess a high level of professionalism.Key Responsibilities:

Greet and assist visitors, clients, and employees in a professional and friendly manner.

Answer and direct incoming phone calls, ensuring messages are relayed promptly and accurately.

Manage office scheduling, including conference room bookings and appointments.

Handle general administrative duties, including filing, faxing, and photocopying.

Ensure the front office area is clean, organized, and stocked with necessary supplies.

Coordinate and manage incoming and outgoing mail and deliveries.

Assist with event coordination and office meetings as needed.

Support the HR and administrative teams with various tasks and projects.

Maintain office records and perform other administrative tasks as required.

Requirements

High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).

1-3 years of experience in a front desk, receptionist, or administrative role.

Excellent verbal and written communication skills.

Strong organizational and multitasking abilities.

Ability to handle confidential and sensitive information with discretion.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

A positive, friendly, and professional demeanor.

Strong customer service skills and a proactive attitude.
