Description Responsibilities: Provide professional-level support to the Legal Department managing a variety of areas, including the maintenance of multiple databases, preparing correspondence, drafting and proofing documents, basic legal research, and managing incoming calls and referring or resolving issues as appropriate. Monitor the Legal Department email inbox and Esquire system; Track, log, and follow up on requests for legal review of documents in order to respond to cleint regarding the processing of contract documents. Interface on a daily basis with other infrastructure departments (including Contracts, Accounting, Finance, and Institutional Development) as well as with program departments within the organization. Upload contract documents for required approvals. Provide general administrative support in the following areas: a) organizing and maintaining department files in both hard copy and electronic formats; b) copying, faxing, emailing, contract documents; c) coordinating meeting logistics, creating PowerPoint decks, travel logistics, and submitting reimbursements, as well as managing the legal calendar(s) Contributes to the development of new processes that increase efficiencies and recommends process improvements. When supporting the General Counsel, must scrupulously observe the confidentiality required to maintain the attorney-client and attorney-work product privilege applicable to the department. Other duties as assigned.Requirements Qualifications: Paralegal certificate is desirable.Associate’s degree and minimum of 3-5 years of experience in an administrative support role that required maintenance of online databases, legal research, close prooing, drafting correspondence, monitor deadlines, and analyzing documents. Bachelor’s Degree desirable. Advanced proficiency with Microsoft Office, including Word, Excel and PowerPoint. Proficiency with Adobe Acrobat Pro. Excellent organizational skills, including keen attention to detail. Strong familiarity with databases required; Ability to navigate and conduct frequent searches on internal databases. Ability to learn quickly, take on responsibilities, work in a fast-paced environment, and multi-task effectively.Ability to move quickly among multiple tasks and databases. Excellent interpersonal, customer service and communication skills required to interface with staff and clients; Ability to work as a team member.
