Description We are in search of an Executive Assistant for a long term contract employment opportunity in Santa Barbara, California. The role primarily revolves around administrative tasks and requires an individual who is highly organized and detail-oriented. Your primary tasks will be to assist in the reorganization of files, manage calendars, and handle communication and correspondence effectively, within a fast-paced environment.Responsibilities: Organize and maintain files to ensure efficiency and ease of access. Manage and coordinate schedules using Calendar Management skills to avoid conflicts and ensure smooth operations. Use CRM to keep track of customer interactions and transactions, contributing to customer relationship management. Employ the Concur tool for efficient travel and expense management. Use Cisco Webex Meetings for organizing and conducting virtual meetings and conference calls. Manage and respond to written, verbal, and digital correspondence promptly and professionally. Leverage the 'About Time' tool for effective project management and time tracking. If necessary, apply knowledge of the real estate industry to specific tasks or projects. Ensure all tasks are carried out in a timely and efficient manner, adhering to the company's standards and guidelines.Requirements Proficiency with ADP - Financial Services Experience with Cisco Webex Meetings Familiarity with Concur and CRM Ability to use Kronos Timekeeping System and About Time Excellent calendar management skills Strong communication skills, both written and verbal Experience with coordinating and facilitating conference calls Ability to manage professional correspondence Adept at multitasking and prioritizing tasks Strong organizational and time management skills High attention to detail and problem-solving skills Demonstrated ability to maintain confidentiality Ability to work independently and as part of a team Strong knowledge of office procedures and basic accounting principles Proven experience as an executive assistant or other relevant administrative support experience Proficient using Microsoft Office Suite High school degree; Bachelor's degree in business administration or related field preferred.
