Administrative Assistant

Canepa is seeking an experienced full-time Administrative Assistant to join our Business Office team. This position will provide direct support to the Business Manager in their daily tasks. We are looking for a reliable, pro-active problem solver with at least two years of experience in an administrative position. The ideal candidate will be highly organizational with strong multitasking skills, excellent written and verbal communication skills and proficiency with Microsoft Office.

We specialize in premium luxury and performance vehicles including, but not limited to: Porsche, BMW, Ferrari, Lamborghini, Mercedes, McLaren, and Shelby. Located in Scotts Valley, California, Canepa is central to the Silicon Valley and WeatherTech Raceway Laguna Seca.

Job Duties Include:

Answer multi-line phone system; routing calls, take and distribute accurate messages to the appropriate department/person.

Outlook Calendar scheduling and maintenance; appointments/interviews for Business Manager

Maintain office filing and storage systems, databases and contact lists.

Print, scan, fax and copy documents using multi-functional copy machine.

Document preparation: Create, edit and distribute documents/emails such as internal memos, reports, invoices/receipts, forms and spreadsheets.

Manage administrative tasks throughout the hiring process including posting job listings, sourcing and screening resumes, scheduling interviews, maintaining candidate database, onboarding support, etc.

Create and maintain employee files including onboarding/termination paperwork, salary projections, time off requests, tracking employee absences/sick days/vacation, etc.

Conduct research and compile information as needed.

Perform errands and other light duties as specified by the Business Manager.

Qualifications:

2+ years administrative experience

Proficient in Microsoft Word, Excel and Outlook

Excellent memory, highly organized and impeccable attention for detail

Strong written and verbal communication skills

Superb time-management skills and multitasking ability

Professionalism and confidentiality

QuickBooks experience is beneficial, but not required

Compensation: $25/hour

Job Type: Full-time (42-45 hours a week, Monday-Friday)

This is a non-exempt, hourly position. This is not a remote position.
