Position Overview
We are seeking a detail-oriented and dependable Administrative Assistant to support our daily office operations. This role involves direct interaction with homeowners, vendors, and internal staff. Key Responsibilities
Answer and direct phone calls and emails professionally
Greet and assist walk-in clients and visitors
Prepare and organize correspondence, notices, and meeting materials
Assist with HOA meeting logistics, including agenda and minute preparation
Maintain and update homeowner records and databases
Handle incoming and outgoing mail
Coordinate with vendors for service scheduling and follow-up
Provide general administrative support to the management team
Qualifications
Prior administrative or office experience preferred
Strong organizational and time management skills
Proficiency in Microsoft Office (Word, Excel, Outlook)
Clear verbal and written communication skills
Ability to manage multiple tasks and meet deadlines
Professional, customer-focused demeanor
Interest in learning and growing within the property management field
Schedule & Compensation
Hours: Monday–Thursday 8:30 AM–5:00 PM; Friday 8:30 AM–4:00 PM
Compensation: Commensurate with experience; performance reviews conducted periodically
