Administrative Assistant/Leasing Assistant

We are looking for an enthusiastic, professional, and detail-oriented Administrative Assistant to support our Residential Leasing Team. The ideal candidate will have previous experience in leasing, coupled with exceptional administrative and interpersonal skills. Our Administrative Assistant will perform various routine clerical duties to support the organization. The Candidate will be expected to handle multiple projects at a time and provide exceptional customer service and superior follow-through in a fast-paced environment. This position requires a detail-oriented professional who can manage multiple tasks efficiently, interact positively with tenants, and contribute to the overall success of our property management team. Self-starter, positive attitude, and willingness to learn is a must!

Position Summary

Welcome prospective tenants and existing residents in a warm and friendly manner.

Answer, screen, and direct phone calls to appropriate individuals, and prepares messages.

Demonstrate community and apartment/model and apply product knowledge to client’s needs by communicating the features and benefits; close the sale.

Respond promptly to leasing inquiries through various communication channels.

Assist in pre-qualifying prospects.

Process rental applications and assist with the leasing documentation process.

Ensure compliance with leasing policies and regulations.

Provide comprehensive administrative support to the property management team.

Maintain organized and accurate records of leases, tenant communications, and related documentation in a digital environment.

Help coordinate lease renewals, rent collections, and resolve tenant inquiries in a timely manner.

Assist in the preparation and distribution of property-related notices and communications.

Foster positive relationships with tenants by addressing concerns, inquiries, and maintenance requests promptly and professionally.

Act as a liaison between tenants and property management, ensuring effective communication and resolution of issues.

Conduct regular check-ins with tenants to assess satisfaction and identify areas for improvement.

Manage scheduling and calendar appointments for leasing and maintenance.

Inspect models and available “market ready”, communicate related service needs to Management.

Streamline administrative processes to enhance efficiency within the property management office.

Coordinate marketing materials for portfolio and monitor advertising effectiveness.

Assist in maintaining an organized and tidy office space.

Perform administrative and clerical support tasks.

Perform other related duties as assigned by management.

Job Requirements

High school diploma or equivalent required.

Clerical experience preferred.

Proven experience in leasing residential or commercial properties

Familiarity with leasing processes, applications, and documentation

Have a strong work ethic with reliability and dependability.

Excellent communication and organizational skills.

Maintain a friendly and customer service-oriented approach.

Have dependable transportation to and from work.

Competitive Salary

Full Time, Hourly Rate $18-$24 per hour.
