Job Summary:

We are seeking a friendly, organized, and detail-oriented Receptionist / Clerical Coordinator to join our team. The ideal candidate will be the first point of contact for our organization and will manage front desk activities and clerical tasks to ensure the smooth operation of our office. This role involves handling communications, scheduling, and various administrative duties.

Key Responsibilities:

Front Desk Management:

Greet and welcome visitors with a positive attitude.

Answer, screen, and forward incoming phone calls.

Provide accurate information to clients and visitors.

Administrative Support:

Manage and coordinate calendars, including scheduling appointments and meetings.

Maintain and update filing systems, both physical and electronic.

Assist in the preparation of regularly scheduled reports.

Handle incoming and outgoing mail, deliveries, and courier services.

Clerical Duties:

Perform data entry tasks, including updating databases and spreadsheets.

Prepare and distribute correspondence, memos, and forms.

Assist in the organization of company events and meetings.

Order office supplies and maintain inventory levels.

Customer Service:

Address client inquiries and provide information as needed.

Manage and resolve complaints in a professional manner.

Ensure the reception area is tidy and presentable.

Qualifications:

High school diploma or equivalent; additional certification in office administration or a related field is a plus.

Proven experience as a receptionist, office assistant, or in a similar role.

Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Strong organizational and multitasking skills.

Excellent verbal and written communication skills.

Ability to handle sensitive information with discretion.

Professional demeanor and appearance.
