Administrative Coordinator

Description Our West LA client is looking for an Administrative Coordinator to join their team. This is a hybrid position that allows flexibility to work at home on Fridays. You will work hand in hand with the Executive Assistant to provide secondary support to the C-level executives with project related tasks. You will assist with board meeting logistics, expense processing using Concur (a must) and provide Reception coverage in the rare event guests come to the office. Key Responsibilities:

Act as the first point of contact for visitors, offering greetings and guidance as necessary, and managing incoming calls to the organization.

Oversee the reception area to ensure smooth communication flow and uphold a professional image, call volume is very light.

Handle mail processing and general office tasks such as scanning, copying, and filing.

Manage inventory and ordering of office supplies, as well as shipment needs.

Collaborate with various departments for office equipment maintenance and facility repairs.

Assist in organizing staff lunches and maintaining kitchen supplies.

Provide support in managing company accounts and databases.

Offer general administrative assistance to supervisors and teams, including tasks such as reconciling financial statements and assisting with board meeting preparations.

Maintain confidentiality and demonstrate strong customer service skills in all interactions.

Qualifications:

Previous experience in receptionist and/or administrative roles is required. We are looking for someone who wants to be a career assistant.

Proficiency in various software and technology platforms, including Microsoft Office Suite, Adobe, and cloud-based systems.

Familiarity with database management and the ability to maintain data integrity.

Excellent organizational skills with the ability to prioritize tasks effectively.

Strong interpersonal and communication skills, with the ability to interact with individuals at all levels.

Demonstrated discretion in handling confidential information.

Prior experience in non-profit operations is advantageous.

The successful candidate will possess a diverse skill set and be comfortable navigating various responsibilities within a dynamic environment.Requirements

At least 7 years of Administrative Assistant experience preferred

Candidate must have substantial computer experience including word processing, spreadsheets and presentation software, as well as databases and customer database systems

Excellent verbal and written communication skills

Receptionist Duties experience desired

Office supply and equipment ordering experience required

Deep understanding of Concur

Adeptness in SharePoint

Foundational knowledge in Mac Computers

Salesforce Administration experience highly desired

Familiarity with using the internet for research tasks
