Description We are looking for a diligent Administrative Assistant to join our team in the Food & Food Processing industry. This role, based in Grand Rapids, Michigan, will involve a variety of administrative and clerical tasks to support our Marketing and Purchasing Team, as well as managing general administrative activities within our office environment.Responsibilities: Answer and direct phone calls, ensuring effective communication within and outside the organization Organize and schedule appointments to maintain efficient operations Write and distribute email, correspondence memos, letters, faxes, and forms Develop and maintain a filing system to ensure organized record-keeping Act as the point of contact for internal and external clients, providing excellent customer service Utilize office management systems and procedures to streamline administrative tasks Operate office equipment, like printers and fax machines, as necessary Display proficiency in MS Excel and other relevant software to organize work and maintain records Exhibit excellent time management skills and the ability to prioritize work Display strong attention to detail and problem-solving skills, ensuring tasks are completed accurately and efficiently Demonstrate strong organizational skills with the ability to multi-task, handling multiple tasks simultaneously without compromising on quality. Requirements Proficiency in performing part-time receptionist duties including answering inbound calls and inquiries Strong ability to professionally answer multi-line phone system and direct phone calls Experience with handling inbound telephone calls and managing multiple phone lines Excellent phone etiquette in dealing with phone inquiries and phone messages Demonstrated knowledge of engagement marketing, marketing advertising, and marketing campaigns Ability to interpret customer needs and effectively resolve customer complaints and issues Familiarity with KYC (Know Your Customer) processes Proven ability to work with internal customers and posture customers in a positive manner Exceptional skills in phone operations and managing phone systems Experience in resolving customer service issues effectively and promptly.
