Executive Assistant to CEO and Chief of Staff

Well-Known American Manufacturer based in Parsippany, NJ is seeking a new Full-Time/Permanent Senior Executive Assistant to support the CEO and the Chief of Staff. Candidates must have a minimum of 8-10+ years of applicable experience supporting a C-Suite Executive and a Bachelor’s degree is required. The ideal candidate will be a collaborative partner with a great attitude who strives to make it easier for executives to do their jobs better. They should be polished and professional, extremely flexible, detail-oriented, technologically savvy, and possess strong Microsoft Office & Google Suite skills excellent interpersonal and communication skills (both verbal and written). Salary depends on experience (125-170k base), plus discretionary bonus eligibility, excellent benefits, 401k match, etc.

Hours are 8:30am-5:00pm, with flexibility to work overtime/outside of standard office hours. Hybrid work schedule (4 days in office / 1 day remote).

Responsibilities:

Serve as the primary point of contact for internal colleagues/senior management teams and external constituencies on all matters pertaining to the Office of the CEO and the Chief of Staff. Liaise with Parent Company’s administrative team.

Schedule and organize extensive internal and external meetings, conference/video calls, and appointments with critical participants; manage, prioritize, and maintain a busy and dynamic calendar of meetings and events.

Read, research, collect, and analyze information as needed and prepare briefing documents with respect to meeting attendees (outside parties), sites, companies, etc., in advance of executives’ meetings or other events.

Prepare Documents, Spreadsheets, Slide presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.

Manage the executive’s inbox to help prioritize, reduce wasted time on unnecessary emails, and ensure the most important messages are handled in a timely manner.

Coordinate complex domestic and international travel arrangements and detailed itineraries.

Prepare, process, and submit expense reports.

Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company.

Maintain availability on evenings and weekends (as necessary but tends to be infrequent) regarding urgent matters requiring attention.

Complete ad hoc projects as assigned.

Requirements/Qualifications:

Minimum 8-10+ years of applicable experience supporting C-Suite Executives.

Bachelor’s degreerequired.

Technologically savvy. Advanced Proficiency in Google Suite (Gmail, Docs, Sheets, and Slides).

Possesses a positive attitude; extremely flexible.

Polished and professional.

Detail-oriented.

Excellent interpersonal and communication skills (both verbal and written).

Flexibility to work outside of work hours as dictated by the needs of business for projects, events, and meetings; willingness to travel as needed to support major projects/initiatives (approx. 10% travel).
