Position Summary: This position supports the SVP of Contracting & Payer Relations and team. Position is primarily Monday – Friday, days, with flexibility in scheduling required. As urgent requests arise, it is expected that individual will check emails, voicemails and texts at night and early in morning to support the requests of the Contracting Team. Will have to attend evening meetings on a quarterly basis. This position contributes to the overall success of the organization by providing multi-dimensional, complex administrative support in a manner which requires self-direction, creativity and independent and discretionary judgment. Position Responsibilities: Key Areas of Responsibility 1. Schedules meetings and manages the calendars of multiple senior leaders. 2. Creates, prepares and distributes meeting materials to attendees including agendas, reports and presentations. 3. Coordinates and secures travel arrangements including conference registration, flights, hotel and transportation for SVP of Contracting and team. 4. Integral in the development and management of the ICP budget (reconciling FTE counts, salary expense and all other expenses monthly). Drafts and submits business expense forms on behalf of SVP of Contracting and team. 5. Assists with the onboarding of new team members including, but not limited to, ordering of IT equipment, completion of network access forms, inclusion of employee in relevant meeting series and coordination of meet and greets with key staff members. 6. Receives and processes checks from payers for the Senior Director of Health Economics in a timely manner to the appropriate account. Scan and upload to appropriate folder for tracking purposes. 7. Welcomes visitors and meeting attendees to suite, showing to appropriate offices and conference rooms. Accepts and distributes all mail correspondence. Maintains office supply inventory and ordering. 8. Attends required meetings and prepares comprehensive meeting minutes. Develops and manages team building/team educational activities. 9. Participate in activities and completion of documents dealing with sensitive and confidential issues and information including Human Resources, Payroll, Timecards or other issues impacting the organization. The Medical Staff Credentialing Specialist carries out the credentialing function for providers to obtain medical staff membership status and clinical privileges with Hartford HealthCare Responsibilities include but, are not limited to: Processes applications to the medical staff in accordance with hospital specific bylaws and regulatory standards. Prioritizes applications in the queue to assure timely processing and approval by leadership groups. Maintains the Medical Staff Credentialing database and interacts with external databases. Secures documents for primary source verification. Produces and replies to general correspondence. Prepares files for medical staff leadership review, identifying “flags” in the application. Processes requests for temporary privileges and reappointment applications. Tracks all expirables (licenses, registrations, etc.) Notifies various departments and units of new providers. Responds to verification inquiries concerning current or previous medical staff members. Interacts on a regular basis with applicants (physicians and allied health), medical staff leadership, regulatory agencies, and healthcare facilities. Maintains and can communicate a thorough knowledge of the medical staff bylaws.
