Mission Lawn and Landscape in Polson is seeking a Full Time, year round Office Manager QUALIFICATIONS: Must have at least three years of office experience. Must be a people person, highly professional, highly organized, able to multi-task, and have excellent customer service skills. Must have excellent oral and written communication skills. Must be computer literate and able to work in a fast-paced environment. Must have a valid Montana drivers license, dependable transportation, and be seeking long-term employment. Experience in an office/data entry or accounting setting preferred. Experience with all Microsoft products including Excel and Outlook preferred. Experience with Quickbooks a plus. DUTIES: -Answer phones This will include dealing with customer issues related to billing, complaints, scheduling, etc. to the extent possible without owner/manager involvement Creating new bid sheets when potential customers call and discussing these with owners/managers Creating new work orders for work needing to be done and discussing these with owners/managers to determine when the work will be done and by whom Relaying information to appropriate crews when customers have complaints/praise or scheduling issues -Make scheduling calls to customers as needed -Receiving payments from customers into Groundskeeper (GK) system, create deposit materials, deposit funds into bank regularly and leave documentation for bookkeeper -Monthly and as needed invoicing of customers through GK system, envelope stuffing, stamping, and delivery to post office -Check employee timeclock daily to ensure all employees are clocked in and out accurately -Responsible for preparing biweekly payroll information for payroll clerk -Responsible for human resource needs such as new employee paperwork, uniforms, direct deposit information, and new employee data collection as required by law -Creation of annual customer contracts Collaboration with Adam and Michelle regarding these contracts Timely mailing of contracts Receiving of contracts and updating of schedules and GK per receipt -Apply for and serve as Notary Public for State of Montana -Update and maintain employee manual -Update and maintain word and excel documents as requested by owners and managers.
