  • The Military Division (Massachusetts National Guard) is seeking a professional for the role of Program Coordinator III, in our Military Records Department. The selected candidate for this supervisory role will be responsible for supporting various functions within the Military Records Office. This integral role requires an organized and detailed-oriented professional who is committed to serving the surrounding communities all while maintaining confidentiality. In the role of Program Coordinator III, you will help provide military records to Veterans, communities, and honor requests from other parties. You will be one of the main contacts and subject matter experts of all Military Records systems. As the PC III in the Military Records Office, you will lead, guide, and teach your team best practices when handling requests and the importance of customer service. Essential Job Duties (these duties are a general summary and not all-inclusive) · Coordinates ongoing maintenance and clean-up of existing paper and electronic files and records. · Supports comprehensive agency records management projects while ensuring compliance. · Assists with coordinating and supporting groups on migrating records across electronic systems, and ensuring proper document and record logs are maintained. · Works with vendors to schedule preventive maintenance and ensure systems are operating efficiently. · Trains staff on various records management initiatives. · Assists with and arranges for transfers of records to off-site storage. · Arranges for confidential destruction of records according to retention schedules. · Reviews, analyzes, existing practices, identifying gaps, and making improvements in collaboration with the Military Records Branch team, to ensure records management policies and guidelines are followed. · Provides general office support as directed, including but not limited to photocopying, scanning, emailing, and filing. · Performs occasional lifting and moving files and boxes. ABOUT OUR AGENCY The Massachusetts Guard has a unique dual mission, with both federal and state responsibilities. During peacetime, Guard forces are commanded by the Governor through the State Adjutant General. The Governor can call the Guard into action during local or state-wide emergencies, such as storms, floods, blizzards, and civil disturbances. In addition, the President of the United States can activate the Massachusetts National Guard to participate in federal missions. The Massachusetts National Guard\'s mission is to be trained and ready to provide units that can mobilize for any contingency, at home or abroad. A bachelor\'s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required (A) experience.
